MINUTES OF THE LIRARY BOARD HELD ON WEDNESDAY, SEPTEMBER 25, 2024, AT 6:00 P.M. AT CITY HALL, COMMISSION CHAMBERS 100 EAST OCEAN AVENUE, BOYNTON BEACH, FLORIDA PRESENT: Stephanie Colaianni, Chair Jeannie Taylor, Library Director Margaret Newton Tiffany Pagan, Assistant Director Christine Lang Dr. Ellen Jones ABSENT: Veronica Anepete Joel Barsky Donna Mitchell Verna Henry 1, Call To Order Chair Colaianni called the meeting to order at 6:02 P.M. Roll call was taken. A quorum was present. II. Approval of Minutes - March 2024 and April 2024 Motion Dr. Jones moved to approve the minutes as presented. Ms. Newton seconded the motion. The motion passed unanimously. III. Correspondence and Communications Jeannie Taylor, Library Director, stated that Ms. Mitchell and Ms. Henry emailed her and said that they could not attend the meeting, but would attend the next meeting. IV. Public Audience None. V. Chair's Report Chair Colaianni congratulated Ms. Graves, Sonia Chaudhry, and Ms. Pagan for completing the Sunshine Library Leadership Program. She said that the Virtual Zone and Bubble Party events were a success and that she was jealous she missed out on the Transformer Library Card sign up events. Meeting Minutes . Library Board Boynton Beach, Florida September 25, 2024 VI Unfinished Business Staffing update. Ms. Taylor announced that there are new members on the Board. Tthe existing members and staff present introduced themselves. Christine Lang stated that she has been living in the City for about six years and that she has always loved the Library. Ms. Taylor commented that she will bring various staff members to every meeting, so that they cab talk about the work they do. She introduced Brian Reagh, the new Digital Services Librarian. She stated that Christina Graves is the Senior Librarian Customer Relations. She mentioned that Rebecca Schiebel, Librarian Assistant, works with Mr. Reagh and she is very crafty and that Brianna Tabil will speak about the Business Hub proposal, in response to former Board Member George Feldman's suggestion. She said they onboarded a part-timer this week and there will be two new part timers October 71h, which will help to cover staffing. Career Online High School Ms. Taylor announced that they have had their 29th graduate, and that she was trying to have her recognized at a City Commission Meeting. She reported that they still have six people working in the program and one is 90% done. She stated that she awarded two new scholarships these past two weeks and three working in the prerequisite class. She noted that this year had a total of seven graduates. Ms. Taylor stated that Friday is the last day for Librarian Ellen Mancuso, who has been a Librarian for 49 years. She mentioned that Ms. Mancuso was the Head Reference Librarian, and they counted on her for cataloguing and the integrated library system. VII New Business Introduction of Brianna Tabil, Public Technology Trainer Ms. Tabil stated that she is the Public Technology Trainer. She explained that originally, her position was a grant funded position, and she was hired to help small business owners and entrepreneurs to find resources. She commented that she moved beyond that as patrons and the public needed technology. She advised that she holds classes on all different types of technology, and she listed some of the classes she teaches. She commented that she has a Tech Talk every Thursday from 10:30 A.M. to 11:30 A.M. She stated that last week, she held a class on internet lingo 101, and how to protect against scammers. 2 Meeting Minutes Library Board Boynton Beach, Florida September 25, 2024 Ms. Newton stated that she attended a few classes and loved them. Discussion of proposed Business Hub space in the Library Ms. Taylor stated that prior Board Member George Feldman was concerned about people talking on their phones in the Library. She said that if someone is talking too loudly, they are asked to step out into the mezzanine. She noted. That Ms. Tabil works with people, helping them to create their resumes and other things, and if they need to hold a job interview online, they have a place to speak. The rooms are fairly small, and guidelines and potential uses are being developed for those needing to set up an appointment to use them. November/December meetings Ms. Taylor commented that she put the November and December Meetings on the agenda. She said that the Board meets the fourth Wednesday of the month, which will be the day before Thanksgiving in November. She explained that past practice is to combine those two meetings and meet the first week in December. She mentioned that the next meeting is October 23, 2024. VIII. Library Director's Report/Statistics April, May, June, July, August 2024 Monthly Reports Ms. Taylor stated that she attached the reports. She requested anyone with questions to contact her. She advised that patrons are going crazy over the eAudiobooks. IX. Adjournment. Dr. Jones thanked the staff for staying late and coming to the meeting. Ms. Taylor commented that staff if putting binders of information together for the new members. She invited them to come by to pick it up and take a tour. Motion Dr. Jones moved to adjourn. Ms. Newton seconded the motion. The motion passed unanimously. The meeting was adjourned at 6:34 P.M. Yay new stuff! Still learning the BrightSign software, but it's going good! • Continuing work with Ian Gonzales(the intern!)on digitizing the VHS tapes we have—most of which are from the Gillian Davis collection & public access television materials (some are pretty cool! Classical &jazz performances!). Beginning work on editing/cleaning up digitized VHS recordings in Adobe, and hoping to both add materials as digital files to their respective collections on our website, as well as putting snippets into the presentations on our screens. • Ongoing process of digitizing our 8mm film, as well as the seemingly infinite supply of microfilm city/county directories from the early 20th century. Almost done digitizing all of our(known) 8mm films. If y'all know anyone with old 8mm film relating to the locale,you know who would LOVE it as a donation? 6:; • Various reference & research endeavors for both the city&the public. Most of this has been assisting researchers locate old photographs of specific time periods and locations in Boynton/Palm Beach County(which is generally the most frequent request here). • Working on creating a presentation for the Boynton Beach Historical Society—I will be doing a seminar-style online presentation at the end of October for them detailing archives, finding aids, and how to access materials in archives (as well as briefly touching on other archival/history topics). This is a great outreach initiative which will hopefully draw more access to us. Planning on re-using this presentation in the future when the opportunity may present itself again • Continuing work on setting up website to take on new digital materials from the archives, and continued work of(STILL) fixing broken nooks&crannies(dead pages, broken links/images/etc.) —there were quite a few subpages which I imagine is why the webmaster abandoned bothering altogether when it came to that on the new website. One day soon the archives website will be PERFECT! One man comes to Tech Talk about 30 minutes before class so he can ask me tech questions. He stays through the entire class and usually longer just trying out everything we go over. He always says "I might not like the topic, but I learned something new!" Hearing attendees tell me that makes me feel like I am picking the right topics and presenting them in a way that they understand. 16 One-on-ones: My 1:1's are becoming more and more popular. I have had to send some people to another location due to my schedule conflicting with theirs and we couldn't find an alternative. I have also been sending them to other libraries that are bigger and have more resources for what they need help with. I met with a woman three times who was struggling to find a job after being out of the workforce for 20 years. Both of us struggled to put her work experience into a resume. We attempted to search for jobs within her field but it became evident that she was lacking any of the newer information for her industry. I got her in touch with the PBC CareerSource and showed her LearningExpress to update her skills. Other notes: BOYNTON BEACH CITY LIBRARY MONTHLY REPORT—SEPTEMBER 2024 BOYNTON BEACH CITY LIBRARY MONTHLY REPORT - SEPTEMBER 2024 12 This month, I had started enacting holds on accounts for repeated no shows. There are a few names that continuously sign up for classes but never show up. It has been messing up my attendance when I have a huge waitlist (5 or more) and send out multiple reminders to those registered just to have them not show up. Luckily, a few people who are on the waitlist come anyway in case they are able to just sit in the back and watch. Due to these no shows, I have been able to let those on the waitlist take their spot. I started back at the Senior Center. I am now attending every first Wednesday. I received a very warm welcome and had 8 people attend. A few familiar faces, but there were new faces; including a gentleman who brought his twenty-year-old Toshiba laptop that was still running on Windows XP (This OS is over 24 years old)! He wanted to know if there was any way for him to get his laptop running and back online. There was/is no way. On Wednesday, September 4th, I attended PLA's webinar: Expand Library Digital Equity Services with New Funds Now! This webinar showed how we can use federal and state funds to advance our digital equity plan. I have the webinar recording if you are interested in the information. On Wednesday, September 11th, I attended SEFLIN's webinar: Fiero Code: Acquisitions &Technical Services. This webinar gave us a live demonstration of the STEM EResource: Fiero Code. I wrote up a small report with the information. Since attending that webinar, I have registered for Fiero at another library to get the experience. It is an amazing resource and I feel like the library can benefit from a program like this. On Wednesday, September 18th I attended a webinar by Ryan Dowd: Prejudice: How to Respond to Prejudicial Comments from Customers.This training came with a workbook and a bunch of resources from Ryan Dowd's Homeless Training program. This was an introduction to his larger training (that requires a fee). I truly think subscribing to Ryan Dowd's training program could help our library. He works directly with libraries that struggle with how to handle difficult situations. On Friday, September 20th, I met with HR to talk about getting employees in the Utilities department computer training. We went over what I can and cannot do for them. We decided that we will hold these trainings later in this year or the beginning of next. On Tuesday, September 24th, I attended a webinar put on by the Washington Post Futurist:Training for the Al Age. This webinar spoke about Al and how it is changing the workforce, economy and classrooms. The roster for both classes and for tutoring was full on paper, but some students did not show up, so I had to fill those spots. changed the name of my classes from Beginner and Intermediate to Beginner 1 and Beginner 2. There is way more of a demand for beginner English, and during that first day my intermediate class seemed more beginner than intermediate. This way I can also diminish my 35 long waitlist for beginner English students. My waitlist for Beginner 2 students is currently at 7 people. My goals for this year as an instructor are to challenge my students more, build more solid and interactive lesson plans, and see my students soar in their confidence and speaking knowledge. To accomplish this, I have been researching more—teaching methods and creative ideas for lesson plans. It's already been amazing and encouraging seeing four of my students going from no English to a little English in a span of weeks. I've also been including more homework this year and enforcing my classroom rules more in terms of attendance and punctuality. My students have to attend class at least three out of the four days a week. If they cannot make it, they have to let me know. This rule not only helps me in terms of quantity when it comes to preparing materials for the class, but it also helps my students press into the BOYNTON BEACH CITY LIBRARY MONTHLY REPORT-SEPTEMBER 2024 BOYNTON BEACH CITY LIBRARY MONTHLY REPORT - SEPTEMBER 2024 17 learning experience. If my students fail to comply with the classroom rules, there will be a discussion and their name(s) will be taken off the roster. This also helps bring students in from the waitlist. Included below are the classroom rules. Classroom Rules: 1. Students must attend at least three of the four days a week. If they are not able to attend, they are to let Miss Dev know via phone, email or in person before the absence. 2. Class starts at 10am or 2pm. Students must be here on time. 3. Children, food, being on the phone, and talking while the teacher or another student is talking are not permitted in the classroom (water is allowed and encouraged). 4. The class is taught completely in English. Other languages and translating are discouraged. 5. Miss Dev has the right to remove a student from the roster if they do not follow these rules. 6. Above all, be willing to learn! So far, there's really only been an issue with rule number 4. Some of my students are still way too comfortable speaking their native language, which is completely understandable, but I am working on slowly encouraging them out of that comfort zone. I enforced the rule in a fun way: if my students show up before class begins, which most of them do, they now have until 10am to speak their native language. Since most are Spanish speakers, they usually say, "oh! We laugh about it like it's a timer, which it essentially is. And it encourages them to show up earlier or on time! I also did some assessments the beginning week of classes to see where my students are at. We did them in class so no one would feel overwhelmed or singled out. I now know where each student is when it comes to speaking, writing, reading and listening in English. I am keeping their assessments in their folders and at the end of the year, we will do the same assessments to see the growth! Current ESOL stats: Enrollment: Beginner 1: 8 students (1 from Ecuador, 1 from Cuba, 1 from Chile, 2 from Colombia, 2 from Haiti, 1 from China) Beginner 2: 8 students (4 from Venezuela, 2 from Brazil, 2 from Haiti) Tutoring: 2 students (Ukraine). 1 during the week and 1 on Fridays when I am present. Book handling/Concepts of print 2. Reading strategies and behaviors 3. Phonic and phonemic awareness 4. Listening Comprehension 5. Reading Compression 6. Writing (Not tested) Students were also checked for fluency using running records. This will be ongoing since increasing fluency will have a positive impact on automaticity, and reading comprehension. We are providing tutoring and homework help and enrichment activities across the curriculum. Assessment Formative assessments were conducted to determine students' progress. The chart attached indicates the results of the assessment. There was no assessment conducted in writing. In addition to fluency passages that were administered from ERIC assessments, were also used to determine student's growth. Kindergarten= Emergent Reader Grades 1st-2"d =Beginning Reader Grades 3'd-5th= Early Independent Reader Grades 6th-7th=Independent Reader Informal assessment through observation began in week one and is ongoing. In addition to informal observation, formative assessments will continue to be conducted monthly to collect data reflecting student growth. This type of assessment will utilize Running Record and (ERIC) Educational Resources (Reading) assessment (early independent through grade 7) to students at each level represented in the student enrollment chart.
