Minutes 10-26-00MINUTES OF THE ADVISORY BOARD ON CHILDREN & YOUTH HELD IN CONFERENCE ROOM C, WEST WING, CITY HALL BOYNTON BEACH FLORIDA ON THURSDAY, OCTOBER 26, 2000 Present Steve Waldman, Vice Chair Evelyn Geathers . CALL TO ORDER In the absence of Chairperson St. John, Vice Chair Waldman called the meeting to order at 7:05 p.m. '11. MOMENT OF SILENT PRAYER - PLEDGE OF ALLEGIANCE ,Ms. Morera led the Board in the Pledge of Allegiance to the Flag. Vice Chair :Waldman requested the Board observe a moment of silent prayer for the passing of former Board member and dear friend, Bob Borovy. . III. APPROVAL OF AGENDA i Motion Ms. Morera moved to approve the Agenda, which was seconded by Ms. Miller ~ and unanimously carried. IV. APPROVAL OF MINUTES OF SEPTEMBER 28, 2000 MEETING Ms. Morera moved to approve the minutes of the September 28, 2000 meeting. Motion seconded by Ms. Geathers and unanimously carried. Meeting Minutes Advisory Board on Children & Youth Meeting Boynton Beach, Florida October 26, 2000 V. ANNOUNCEMENTS/PRESENTATIONS/CORRESPONDENCE Vice Chair Waldman called for a motion to dispense with all other business and to devote the entire meeting to the Youth EXPO which is coming up this weekend. Motion Ms. Miller moved to dispense with all other business and to devote the remainder of the meeting to the Youth EXPO. Motion seconded by Ms. Morera and unanimously carried. , Vice Chair Waldman noted that Chairperson St. John was not present tonight due to the passing of her grandmother. Members of the Board discussed what would be an appropriate expression of sympathy to send to Chairperson St. John. Ms. Geathers suggested that a donation to an organization on behalf of ~her grandmother would be appropriate. Vice Chair Waldman said he would i determine which charity Chairperson St. John would prefer. After discussion it .was decided to send $18.00 (Chai), which in the Jewish Religion symbolizes "Life". Motion Vice Chair Waldman moved that this Board donate $18.00 to the appropriate place or organization designated by Chairperson St. John in memory of her grandmother. Motion duly made and seconded. !VI. OLD BUSINESS A. Youth Expo Ms. Claude informed the Board that Chairperson St. John left a list with her on items that still need to be addressed, which she reviewed as follows: Chairperson St. John will be at City Hall in the Mall on Friday at 8:00 a.m. to begin setting up. Ms. Claude will be present to assist, as well as Ms. Morera and Vice Chair Waldman. It is anticipated that as much as possible would be set up that morning. Anyone able to assist would be welcomed. It needs to be determined when to set up the artwork; should it be Friday night or Saturday morning? This will be further discussed at the Mall. 2 Meeting Minutes Advisory Board on Children & Youth Meeting Boynton Beach, Florida October 26, 2000 The balloons will be delivered Saturday morning at 8:00 a.m. and Ms. Morera will call to confirm this. Vice Chair Waldman said he would be at the Mall Saturday morning and could receive the balloons. ,Ms. Claude stated that the balloons were ordered in clusters and there should be at least 21 clusters. Washington Mutual and the Palm Beach Post need to be contacted to determine if they want to participate in the opening ceremonies and Ms. Claude will follow through on this. Also, Hunters Run needs to be contacted to determine if they would also like to participate in the opening ceremonies. Ms. Morera will contact Ms. Wilkinson so that she could follow through with Mr. Rosenstock. 6. Ms. Claude will be preparing thank you letters to the sponsors and will invite them to the awards presentation in November. For the opening ceremonies, the City Manager and Mr. Majors will be present. They have not heard back from any of the Commissioners on whether they would be present. All Commissioners and the Mayor received letters to attend. Ms. Claude said that they should be contacted to determine if they plan on being present. Vice Chair Waldman said he would contact them. Someone needs to determine if the Boy Scouts would be participating in the flag presentation. Vice Chair Waldman said he spoke to someone from the Boy Scouts and they indicated that Troupe 395 wanted a table. Vice Chair Waldman will determine if the Boy Scouts wish to participate in the flag ceremony. Ms. Claude announced that the chorus scheduled to perform after the opening ceremonies cancelled. Chairperson St. John has contacted East/West Karate to see if they can fill in. Ms. Morera will follow through on this as well. 10. Ms. Claude said it was important to determine which dignitaries would be at the opening ceremonies so that Ms. DeVries can announce their names. 11.Vice Chair Waldman will contact the schools to determine if there is any art work remaining that needs to be picked up. Ms. Miller reported that Poinciana did not participate at all. There is a new procedure in place at the school and the information must be given to the 3 Meeting Minutes Advisory Board on Children & Youth Meeting Boynton Beach, Florida October 26, 2000 secretaries first, who would then give it to the teachers. However, none of the teachers seemed to receive any information on the contests. 12. It was noted that there was only one entry received for the photography contest. There were nine entries in creative writing, 28 entries in art and none in science. 13. With regard to the entertainment, all slots are filled except for two. 14.The rental of the skirts for the tables and the tent for costume changing will be delivered on Friday morning. 15. There has been a request to keep the sound down because there were complaints from the merchants. Also, an adult must be present at all times at the stage. 16.With regard to the judges, Ms. Claude said there are two judges for the contests that have more than one entry. 17. Ms. Claude will arrange for the walkie-talkies, video camera, and digital camera and it needs to be determined who will be taking the pictures. 18.Vice Chair Waldman inquired what would be displaYed on the Children and Youth Table. Ms. Claude said that there will be flyers on the Youth Council and the Youth Volunteer Program, and the signs from last year will also be used. Ms. Claude is also redoing the flyer on the Board, which will be available. Vice Chair Waldman also suggested that the pamphlets left from the last Youth Expo could be distributed. Ms. Claude agreed. 19. Ms. Claude has ordered the ribbons for the prizes. 20. Ms. Claude said that City Hall in the Mall would be open on Sunday so that there will be a restroom and snack place available for the volunteers and sponsors. 21.Vice Chair Waldman suggested that a thank-you letter be prepared and be available at the table to hand out to the organizations that set up tables, thanking them for their participation. Ms. Claude said she would follow through on this. 22. Chairperson St. John had also requested that Vice Chair Waldman prepare a letter to send out to anyone who contributes to the Bob Borovy Fund. Ms. Claude noted that a check was received from Ms. Betty Thomas and Mr. Harvey Oyer. Vice Chair Waldman suggested 4 Meeting Minutes Advisory Board on Children & Youth Meeting Boynton Beach, Florida October 26, 2000 that a contribution by this Board could be discussed at the next meeting, to which members agreed. He will also work on the letter. Vice Chair Waldman inquired if there would be coverage at the Board's table throughout the day and it was noted that the Board members had time assignments on when to be present. However, that there are still a couple of open slots. It was also noted that the Teen Center Surveys would be available at the Board's table as well. Ms. Claude noted that hundreds and hundreds of responses to the surveys have been turned in. Also, from the survey, there were over 40 people who indicated that they were interested in helping out. Vice Chair Waldman wished to thank Ms. Claude for doing a wonderful job and the Board is very appreciative for all her hard work and dedication. VII. NEW BUSINESS None VII. NEXT MEETING: November 30, 2000 Commissioner Chambers, Youth Expo Awards Presentation. VIII. ADJOURNMENT Motion Ms. Morera moved to adjourn, which was seconded by Ms. Miller.
