Minutes 05-26-05 MINUTES OF THE REGULAR MEETING OF THE ADVISORY BOARD ON CHILDREN AND YOUTH HELD IN COMMISSION CHAMBERS, CITY HALL, BOYNTON BEACH, FLORIDA ON THURSDAY, MAY 26,2005 AT 7:00 P.M. Present: Steve Waldman, Chairman Mary Morera, Vice Chair Hattie Miller Danielle Bonczyk, Voting Student Sherri Claude, Board Liaison Absent: Evelyn Geathers Lawrence Rubin Lawrence Siegel Willie Pearl Wilson Alyssa Ewing, Voting Student I. Call to Order Chairman Waldman called the meeting to order at 7:06 p.m. II. Pledge of Allegiance/Moment of Silent Reflection Members recited the Pledge of Allegiance to the Flag followed by a moment of silent reflection. III. Approval of Minutes of April 28, 2005 Ms. Claude requested that Section B on Page 3, last line, be corrected to read, "Ms. Claude stated it originally started as a volunteer opportunity for youth volunteer bank members." Motion Vice Chair Morera moved to approve the minutes, as corrected. Motion seconded by Ms. Miller and unanimously carried. IV. Approval of Agenda Motion Vice Chair Morera moved to approve the agenda. Motion seconded by Ms. Miller and unanimously carried. Meeting Minutes Advisory Board on Children and Youth Boynton Beach, FL May 26, 2005 V. Announcements/Presentations/Correspondence Ms. Claude distributed a letter she received from Kyle Fishman, who was the recipient of the Bob Borovy Award. The letter will be discussed in order on the agenda. VI. Public Audience None VII. Old Business A. Teen Center Survey Board Member Larry Siegel offered to work on this by clarifying the language of the survey. After the survey is completed, it will indicate which residents are City residents. Chairman Waldman would like to go to the schools during the second or third week after school opens to speak with the principals to obtain approval to distribute the survey. Ms. Claude had been asked if the survey could be posted on the City's Website and she was informed that the Website could not accommodate a survey. Chairman Waldman inquired if a separate Website could be used for the survey. Ms. Claude was not certain if this could be done and whether it would incur substantial costs since a certain kind of software would be required. Ms. Claude felt if the survey was distributed through the schools, the Board should be able to garner enough information. She felt putting it on line might not draw enough response. Chairman Waldman agreed with Ms. Claude's assessment of not putting the survey online. B. Volunteer Project/Adopt-A-Spot Program (July 9 and October 8) Chairman Waldman announced that the next clean up would take place on Saturday, July 9th at Rolling Green School at 9:00 a.m. C. Youth Volunteer Bank Ms. Claude reported the costs for the banquet totaled $1,411 and the City paid for the cost of the food that came to $750. Ms. Claude noted this amount included a small refund because the caterer made a mistake by not furnishing enough salad. The costs of the other items came to $661. Chairman Waldman questioned the need for a deejay since there were less youth at the banquet. Ms. Claude recommended in place of having a deejay, they could make the banquet more formal and hold it in a better location with longer ceremonies. Vice Chair Morera agreed and thought they could have a formal dinner and hand out awards. At previous banquets, the youth liked to stay to dance, but this was not the case this year. Chairman Waldman recommended discussing this at length when all the Board members were present. 2 Meeting Minutes Advisory Board on Children and Youth Boynton Beach, FL May 26, 2005 Members felt there should have been more food and noted it was hard to determine how many people would actually show up for the banquet in order to know how much food is necessary. D. Bob Borovy Award Ms. Claude reported expenditures were $1,463 and recently the American Legion Post No. 164 donated $1,000. Ms. Claude drafted a thank you letter and will e-mail it to Chairman Waldman for his approval. Chairman Waldman noted that Mrs. Borovy and her daughter were present at the award ceremony. Chairman Waldman reported he received e-mail from Kyle Fishman who won the first place award thanking the Board for the award. Also, Ms. Claude furnished a thank you letter that Mr. Fishman sent thanking everyone, which Chairman Waldman read into the record. A copy of Mr. Fishman's letter is on file with the record of the meeting. Vice Chair Morera noted there was an article on Mr. Fishman in the Boynton Times. Ms. Claude stated a press release was sent out on Monday to the Sun Sentinel. Chairman Waldman stated currently in the Bob Borovy Award budget there is $2,920. He thought they would have to raise an additional $1,000 to cover the next two years. Chairman Waldman requested if members had any ideas on who could be approached for donations, please let him know. Chairman Waldman stated that any funds realized from the bowling tournament goes to the Borovy Award. E. Tennis Carnival Vice Chair Morera reported the Tennis Carnival went very well and Ms. Stern was pleased to receive her certificate at the banquet. Vice Chair Morera anticipates that the Tennis Carnival will continue to be held every year. Chairman Waldman noted that Commissioner Ensler was present and he is very supportive of the event. Chairman Waldman would like to have as much diversity at the Carnival as possible and recommended they solicit more participants from other areas in the City. Ms. Miller inquired how many children could participate and was informed there was only enough room for approximately 30 children because there were only three courts. Ms. Claude recommended the Board consider having a second tournament at the City's Tennis Center that could accommodate more children. Members were very much in favor of this idea. Ms. Miller recommended contacting Clyde Harris who teaches tennis in her neighborhood. Chairman Waldman will follow through on Ms. Miller's recommendation. Vice Chair Morera pointed out there was a long waiting listing of children that wanted to participate. 3 Meeting Minutes Advisory Board on Children and Youth Boynton Beach, FL May 26, 2005 F. Bowling Tournament (July 24 at AMF Lanes) Chairman Waldman announced the Bowling Tournament would take place on July 24th. He requested that Ms. Claude supply him with additional flyers that he could leave at the AMF Lanes. The cost for a team to participate is $20. Chairman Waldman will order the trophies for the three divisions. Ms. Claude inquired if AMF Lanes would be agreeable to invoice the City so a check could be cut after the event. Chairman Waldman will speak to AMF Lanes about this or provide the name of a person Ms. Claude could contact. It was decided to provide donuts as refreshments. Chairman Waldman urged everyone to participate in the tournament that is especially fun for the children. G. Guest Speakers None VIII. New Business A. Elections (tabled last month) Chairman Waldman noted a full Board was not present. After discussion, it was decided to leave the item on the table. Ms. Claude noted at the last meeting a Board member inquired if a donation to the Bob Borovy Award or the Volunteer Bank was tax deductible. Since that meeting, Ms. Claude was informed that the donations were tax deductible. She suggested mentioning this in any letters sent out requesting donations. IX.
