MINUTES OF THE COMMUNITY RELATIONS BOARD WORKSHOP MEETING
HELD IN CONFERENCE ROOM A, CITY HALL, BOYNTON BEACH, FLORIDA
ON WEDNESDAY, SEPTEMBER 9, 1998 AT 7:30 P.M.

OPENING REMARKS
The workshop portion of the Community Relations Board meeting convened at 7:35
p.m., and Chairman Washam stated the first item would be discussion and review of the
flyer prepared by Mr. and Mrs. Charlie Fisher.
Ms. Girtman noted that the correct name of the Board on the flyer should be
“Community Relations Board”.
The next item discussed was whether to include a pre-registration form on the bottom of
the flyer. Chairman Washam stated that with pre-registration the Board will have some
knowledge as to how many youths will be participating. Ms. Mingo-McCoy felt pre-
registration would serve no purpose since the job fair is going to be held in any event.
Also, it was discussed whether or not the youths will return a pre-registration form.
Ms. Girtman stated it was important to have incentives to get the youths to participate in
the job fair and if there was a registration form on the flyer it would be an incentive for
their attendance.
Vice Chair Currier inquired if it was intended that presentations would be made to the
schools advising of the job fair to determine in advance if there are students who would
like to attend? Mr. Hawkins stated that the only way the registrations would be turned

back in is if the flyers were handed out to a specific group of children and those
interested in attending would complete the registration on the spot and turn it in. Also,
Chairman Washam stated that it should not appear too complicated if a youth wants to
attend, otherwise it could discourage attendance. After further discussion, it was
decided not to have a pre-registration form on the flyer.
The next matter to be discussed was whether or not to serve refreshments and what
kinds. Mr. Fisher stated if it looked like there were not enough refreshments, some one
could run out to Costco and purchase some more refreshments.
Ms. Mingo-McCoy suggested door prizes. Discussion ensued as to the type of door
prize that could be offered. It was suggested something small and Mr. Washam said he
had contacts that he could approach for token door prizes. Vice Chair Currier
suggested that Mr. Paul Raffa at McDonald’s be approached for gift certificates for soda
or french fries and Vice Chair Currier stated she would contact Mr. Raffa.

The next matter to be discussed was the location of the job fair. Mr. Hawkins stated
that there is a problem with the Civic Center and that Saturday mornings have been
reserved for various groups on a year-round basis and these groups do not like to offer
up their time or space. Mr. Hawkins stated that he has considered asking if they would
move to another location or cancel their activity. However, Mr. Hawkins doubted they
would agree to either of these suggestions.
Mr. Hawkins stated that the Hester Center could be looked at again, since it was ruled
out originally as the job fair site. Mr. Hawkins stated that the Hester Center is large
enough and could accommodate the job fair. Mr. Fisher suggested the Library for the
second Saturday. Discussion ensued that it would not be a good idea to have the job
fair offered at two different locations. It was agreed the first site for the job fair will be
the Civic Center and if that is not available, it will be held at the Hester Center. Mr.
Hawkins stated he should have the location determined by the end of the week in order
that the flyer could be prepared for distribution.
Ms. Williams also suggested that one of the schools could be utilized, such as the
Galaxy School, Poinciana School or the Congress Middle School.

Mr. Fisher stated that the flyer would be prepared on plain white 8 ½ x 14 paper and
asked when the flyers should be distributed? It was agreed that the flyers should be
distributed next week, as soon as the location for the job fair is determined.
Ms. Currier stated she could have the 1,000 flyers printed and Mr. Fisher said he would
prepare the flyer on a laser printer for duplication.

Chairman Washam said a workshop will be necessary to meet with the

After discussion
it was determined to have a workshop meeting as follows:

Chairman Washam also suggested that one more workshop needs to be held with all
logistics for the job fair
Board Members to go over prior to the workshop with the
business people. It was determined to hold this workshop on –

Conference Room A, City Hall
Chairman Washam said that as soon as the flyers are ready, members should come down
and get the flyers for immediate distribution. Chairman Washam will coordinate distribution
of the flyers to the schools with Mr. Fisher.
Ms. Currier will prepare and coordinate a list of churches with Ms. Girtman for
distribution of the flyers.
THE NEXT REGULARLY SCHEDULED MEETING OF THE COMMUNITY
RELATIONS BOARD WILL BE ON OCTOBER 14, 1998 at 7:30 p.m.
The meeting adjourned at 8:20 p.m.
