Computers PURPOSE: Establish policies and procedures for cleaning and disinfecting computers that are shared by groups of employees or the public. POLICIES: All City Departments are
responsible for cleaning and disinfecting departmental computer keyboards, pointing devices, mouse pads, monitors, and CPUs (central processing units). Shared/Public computers: 1. No
food or beverages are to be consumed while using a shared/public computer. 2. Departments that have computers available to the public must provide hand-sanitizer (in either wall-hung
dispensers or bottles). 3. If the keyboards are in constant use and get very dirty or sticky, the Department should order and install keyboard ”skins.” This will cover and “seal” the
keys to make ongoing cleaning easier. 4. Shared computer keyboards and pointing-devices (e.g., mice) are to be wiped with a disinfectant at least once a day. (See Procedure A – Quick
Disinfecting.) 5. If the computers are in constant use (e.g., the public computers in the library), the keyboard and mouse should be wiped with disinfectant twice per day. 6. Computers
used for classes should be wiped after each class. 7. Shared Computers are to have a more thorough cleaning at least once per week. (See Procedure B – More Thorough Cleaning.) Personal
computers used by individual City employees: 8. Employees who routinely use computers in a non-shared environment (e.g., computer is in an individual office and normally used by only
one employee) should wipe their keyboard and mouse with a disinfectant wipe once a week and follow the procedures for a more thorough cleaning once a month. The following procedures
will serve as guidelines for cleaning. The ITS Help Desk can be phoned for specific cleaning issues (e.g., a liquid was spilled into the keyboard). 1
2 PROCEDURES: A. Procedure A – Quick Disinfecting: 1. Shut-down the computer. 2. Hold the keyboard upside down and shake it gently to dislodge dirt. 3. Wipe the keyboard, chassis, and
all keys with disinfecting wipes (e.g., Lysol, Clorox). 4. Avoid letting liquid leak into the electronics under the keys. 5. Disinfect the mouse in the same fashion. 6. Remember to wipe
the mouse pad as well. 7. Wait until everything is dry and then restart the computer. B. Procedure B – More Thorough Cleaning 1. Shut-down the computer. 2. Hold the keyboard upside down
and gently shake it. Then blow it clean with a can of compressed air. Spray at an angle to dislodge dirt. 3. If you use products such as Endust for Electronics or other computer-safe
cleaning aerosols, follow the manufacturer’s instructions. Otherwise, you may pour or spray a small amount of cleaner onto a paper-towel to wipe the keyboard and keys. Remember – do
not spray any liquids directly onto the keyboard. 4. If your keyboard and mouse have an owner’s manual, check it for specific instructions. 5. Clean the mouse the same way. 6. Mechanical
mice have moving parts that accumulate dirt. You can use compressed air to clean it. It is easy to remove the ball and examine the wheels. You can also periodically use a cotton swab
with a tiny bit of alcohol to wipe ”gunk” off the wheels. Wipe the ball clean and reinsert it. 7. For optical mice, use a soft cloth to wipe the sensors located on the bottom of the
mouse. 8. Use a micro-fiber cloth (like the cloths marketed for eye-glasses or flat-screen TVs) to wipe the flat-screen monitor. You can dampen the cloth with either eye-glass cleaner
