Library Advisory Board Minutes
December 7, 2011
The Library Advisory Board meeting was called to order at 4:00 p.m. by Chair Jeannie Taylor. All board
members were present. The minutes of the September 21, 2011 meeting and the October 26, 2011 meeting
were approved as distributed.
Correspondence: The board received a resignation letter from Willie Pearl Wilson. The members expressed
appreciation for her years of service on the Library Board. The City Commission approved Barbara
Encchman and Barbara McGee as regular members for another term.
Chair's Report: Jeannie shared an article about Grassroots Advocacy from the American Library
Association magazine.
Unfinished Business:
The SEFLIN Sunshine Library Card program has begun with our library issuing twenty cards so far.
Twelve libraries are cooperating in the purchase of the Overdrive e -Books System. The system will help
with the management of the e -Books lending and collection development process.
The board reviewed the Policy for Damaged Materials and discussed whether patrons should get to keep the
damaged item after paying for it. The group consensus was that the item should not be kept by the patron
because it is City property. The fee structure was also discussed and the board agreed that current
replacement cost should be used unless the damaged item is out of print. The price for out -of -print items will
be determined on a case -by -case basis based on an Internet search and availability.
Library Director, Craig Clark gave an update on the Digitization Project. Several years of Polk Directories
have been scanned thus far. Janet will demonstrate the process at the next meeting. Craig also mentioned
plans to digitize 25 years of local newspapers. The cost will be split between state aid and Friends monies.
New Business:
Craig reported that the library received an unrestricted donation of $3,500 from Hunter's Run. The board
members expressed appreciation to Hunter's Run for the donation. Craig is ordering additional DVD
shelving using the donation. A plaque acknowledging the donation will be attached to the shelving.
Craig announced the titles which will be voted on for the Read Together Palm Beach County program.
Voting will begin in January.
Library Director's Report:
Craig announced that he just finished interviewing for two part-time library aide positions and one part-time
shelving position. Their start date will be Jan 9`". He also announced the upcoming departure of a part-time
librarian/cataloger. Craig also distributed the monthly report for November 2011.
The next library board meeting is January 25, 2012 at 4:00 p.m. The meeting was adjourned at 5:00 p.m.
