Library Advisory Board Minutes
January 25, 2012
The Library Advisory Board meeting was called to order at 4:00 p.m. by Chair Jeannie
Taylor All Board members were present except Bernice Begleiter. The minutes of the
December 7, 2011 meeting were approved as corrected (changed next meeting date to
January 25, 2012).
Correspondence: The Board received a letter of appreciation from the Community Caring
Center for toys that were collected at the library during December. The toys were
distributed at Christmas by the Center.
Chair's Report: The elections for 2012 were held. Chair Jeannie Taylor was re- elected as
was Vice Chair, Barbara McGee and Secretary, Valerie Pleasanton.
Jeannie presented a library conference update: The American Library Association (ALA)
conference is scheduled for Jun 21 -26 in Anaheim, California; and the Florida Library
Association (FLA) conference will be held Apr 18 -20 in Orlando. Jeannie also shared a
Funding Advocacy sample letter to be used to sway legislators to fund the Maintenance of
Effort ($21 3M) needed to keep the federal library grant funding.
Unfinished Business:
- The Overdrive eBooks System A single web site for all participating libraries to use is
being created. The start date is scheduled for April and training will begin soon.
Discussions on purchasing titles are underway.
- Sirsi /Dynix Contract. Check -out and Cataloging software will be converting to a hosted
system with the hardware in Atlanta. Disposal of the old local computer hardware will occur
using regular City of Boynton Beach disposal process.
- DVD shelving purchased with the donation from Hunter's Run is being installed. A
question regarding the ongoing theft issue was discussed. Craig Clark, Library Director, will
report at the next meeting on actual shrinkage numbers, but reported that there are no
obvious signs of wholesale theft. A targeted inventory process called List Check is used to
check on items which show unusually slow (or no) turnover. The process helps find lost or
stolen items. The Board also discussed the process of weeding the collection and replacing
worn items with donated books
- The Local Newspaper Preservation process has begun. The 1948 -1972 Boynton Star
newspapers were among those sent to the digitizing company in Wisconsin. The newspapers
will be scanned in and an OCR process run to make them searchable. The digitizing
company has a great reputation and the papers are expected back within 60 days Funding
was provided by the Friends and State Aid monies.
New Business: The Adult Reading Club had 80 signed up within two weeks. The prize for
reading 10 books is a 1 GB jump drive. Funding for the program was donated by the Friends.
Craig reported on several staffing changes and two new hires. Additional positions are open
Craig also reported that he is shopping for a Microfilm Printer Reader. Funding is being
provided by the Quilters
The Friends Author Luncheon will be held February 20, and all board members were
encouraged to attend.
Library Director's Report: Craig distributed the monthly report for December 2011. He
reported that the AmeriCorp tutor is in high demand. The library is working hard to get two
AmeriCorp tutors next year.
The Read Together PBC voting closes on Feb 24` Vote online or at the library. Craig also
distributed the February Library event calendar.
The next Library Board meeting is February 22, 2012 at 4:00 p.m. The meeting was
adjourned at 5:00 p.m.
