Minutes 02-22-12CITY OF BOYNTON BEACH Boynton Beach City Library Library Advisory Board Minutes February 22, 2012 The Library Advisory Board meeting was called to order at 4:00 p.m. by Chair Jeannie Taylor. All board members were present. The minutes of the January 25, 2012 meeting were approved as distributed. Correspondence: The board received a letter of appreciation from the library noting that the mystery I Am Gold, was purchased using the Library Board's Endowment fund. Chair's Report: None. Unfinished Business: - Library Archivist, Janet DeVries updated the board on the Local Newspaper Preservation process. She also demonstrated how to use the Local Phone Book database looking up information from the early 1960's. - Library Director, Craig Clark, reported that the new Overdrive eBooks website looks good and the next step is a collection development meeting with the thirteen participating libraries. Approximately 30% of the eBook materials fund will be spent on the opening day collection. The remainder will fund additions later. Craig mentioned that many patrons have expressed interest in being able to borrow books for their readers. - Craig also reported that the hosted Sirsi/Dynix Contract Check-out and Cataloging system transition process is underway. A project manager will be appointed and the process will accelerate. The transition is expected to free senior staff to focus on other critical duties. The new system will allow catalog access through a free Facebook app among other innovations. - The Unique Management collection Services report for Jan 2012 was distributed to the board. The collection company has generated a response rate of 28% from the 131 accounts submitted with about $1000 in materials and $600 in fines or fees collected so far. Mae Giamo reported that the library anticipates an upward trend in the recovery rate over time. About 75% of the recovered items have been books and most are in reasonably good condition. New Business: The draft Policy: Publications Accepted for Distribution was distributed and discussed. The board unanimously approved the policy. A new half-time cataloger has been hired. A discussion of the need to hire multiple part-timers instead of hiring full-timers due to the budget impact of benefits was held. A part-time page position remains open at this time. Assistant Director, Anne Watts has applied for an LSTA grant to provide job prep training to patrons. Library Director's Report: Craig distributed the monthly report for January 2012 and noted that circulation is creeping up again. He also reported that Bernice was moved up to regular board member from backup status. Two library board alternate positions are open at this time. There are already 26 Sunshine Card holders in that new reciprocal lending program. Craig reported that the Friends luncheon was not as well attended as previous years. The speaker, Sharon Potts, was interesting, but it is questionable whether a profit was made. Next year will likely bring a change in format or venue. Board member Barbara Erlichman reported that Janet DeVries gave an excellent presentation at the Boynton Woman's Club last month.
