Minutes 10-23-12 MINUTES OF THE ARTS COMMISSION MEETING HELD ON TUESDAY OCTOBER 23, 2012 @ 6:30 P.M., TRAINING ROOM AT FIRE STATION NO. 2, 2615 WEST WOOLBRIGHT ROAD, BOYNTON BEACH, FLORIDA PRESENT: Barbara Ready, Chair Debby Coles - Dobay, Public Art Anderson Slocombe, Vice Chair Administrator Christine Moeller Robyn Lorenz Aylin Tito, Alternate ABSENT: Deborah Bottorff William Combes Halena Wolf I. Call to Order Chair Ready called the meeting to order at 6:30 p.m. II. Roll Call of Members Self- introductions were made. III. Agenda Approval Debbie Coles - Dobay, Public Art Administrator advised she had a change to the agenda. The minutes to be approved should be September 25, 2012, not August 25, 2012. She also wished to add an item under Announcements — October 19 Breeze into Boynton reception and under Exhibits - Fish Art. Motion Ms. Moeller moved to approve the agenda as amended. Ms. Lorenz seconded the motion that unanimously passed. IV. Approve Meeting Minutes - August 28, 2012 As noted, the minutes to be approved were September 25, 2012. Ms. Moeller moved to approve the minutes. The motion was seconded by Ms. Lorenz that was unanimously passed Meeting Minutes Arts Commission Boynton Beach, FL October 23, 2012 V. Announcements /Reports A. December 25th meeting date change - Wednesday, December 12 or Thursday, December 13th Ms Coles -Dobay indicated that the December meeting falls on Christmas day. She polled everyone on two alternate dates for the December meeting and Thursday, December 13 was chosen. - Breeze into Boynton Reception — October 19, 2012 Chair Ready advised the event went very well. It was held in the gymnasium at the Civic Center. Approximately 30 people attended. Ms. Coles -Dobay added that it was for the Breeze into Boynton branding statement that was being promoted for the City. The Arts District artists and the Plein Air artists had their work exhibited. It also helped promote the artists and their upcoming projects. Jan Engoran from The Forum, a new reporter to Boynton Beach was in attendance and met the artists and some City officials in attendance. The Arts District artists and the Plein Air artists shared ideas as to what they were planning for the future in Boynton. Chair Ready reviewed the branding statement "Breeze into Boynton Beach" and its meaning. B. October 25 7 p.m. — Art District Art Walk Chair Ready advised that this would take place on Industrial Avenue. Ms. Coles -Dobay added she attends every event and mentioned the artists feel privileged if Board members attend. She encouraged everyone to attend these art events. There was a special Halloween event planned C. Jelly Fish Drift Launch October 26th, 9 a.m. Harvey Oyer Park Ms. Coles -Dobay advised because of the high surf expected, there was an alternate date of November 2, 2012 set for the launch. D. October 27 & 28 10 a.m. — 5 p.m. — Haunted Pirate Fest (Plein -Air artists on site) This event was being held on Ocean Avenue by the Children's Schoolhouse Museum. There would be numerous vendors on site and interactive pirates. There would also be kinetic art on display around the area for the public to view. VI. Project Updates /Approvals A. Seacrest Medical — Review Public art proposal for project 2 Meeting Minutes Arts Commission Boynton Beach, FL October 23, 2012 Ms. Coles -Dobay advised the value of the fee for the public art project was $2,065. What the owner wanted to do was to purchase statues she found at an estate salvage that were made of Carrera marble. She shared photos with the members and described the sculptures in detail to give them an idea of what they looked like and how they would look once installed. There was discussion on lighting and landscape suggestions and security issues. Motion Ms Lorenz moved to approve the sculpture. The motion was seconded by Ms. Moeller with discussion by Vice Chair Slocombe. He requested a definitive landscaping lighting plan. The motion was unanimously approved. B. Siba Medical — Final review of public art Ms. Coles -Dobay explained the detail of the art work. She reviewed the reasons why the artwork was placed in the rear of the building. The owners felt it was more of an intimate area and would be seen by everyone as the entrance was located in the rear of the building. Motion Vice Chair Slocombe moved to approve the public art. The motion was seconded by Ms. Moeller and unanimously approved. C. Schoolhouse Children's Museum — Wind Chime public art review Ms. Coles -Dobay reviewed the wind chime and panel project by Paolo. There were four chimes installed and more would be installed at a later date. The panels would be installed in front of the pillars. Each of the chimes had different textures. D. CRA Ocean Avenue Specimen Tree Public Art — update Ms. Coles -Dobay advised this was a project that was being worked on with the CRA in the area of Veterans Park. The project would include illuminated lantern pieces and further down by the Civic Center would be glowing orbs and butterflies. Across the street from the Civic Center, there would be fish on display. Because power was needed for these displays, the art pieces would have to be hung safely so they do not fly around, swing or sway. The electric had to be to Code. The good news was that it was all low wattage so the power could be converted at the base with low wattage wires to the tree that could be safely wrapped or tied. Some projects had to be reduced to keep the cost down for these unexpected expenses. One of the artists, David Langley, was a big help in coming up with solutions such as creating a bracket that could be safely wrapped around the branches and the power would be attached to it. There 3 Meeting Minutes Arts Commission Boynton Beach, FL October 23, 2012 would now be three lanterns in Veterans Park, three fish in one tree and in the other tree would be six globes and three or four ether flies butterflies. It should still have the same impact as the original concepts. The CRA Board approved the artist agreements at the last Board meeting. However, they wanted to see the entire budget to make sure it was within the scope of the original budget before they would move forward with the project. It would be brought back before them at a future meeting for approval of the entire project. The art should all be installed within the next couple of months and will have an opening launch date. It was hoped to target a mid - January date. This project would illuminate dark areas and would be a celebrated project just to see art in trees. VII. International Kinetic Art Symposium and Exhibit Planning A. Symposium "To Do" List - Exhibit Committee — Outdoor Kinetic Artwork Installation a) Outdoor Kinetic Artwork Installation Ms. Coles -Dobay extended her thanks to everyone who assisted in installing the kinetic art. She was impressed with how everything was handled. The Digital Arts Media College students were present and were filming the activities and interviewed some of the artists. As a result, there were four different press articles published. The Coastal Star distributed 15,000 copies with the save the date card inside. Ms. Coles -Dobay advised that John King who had big rotating flower pieces would be driving from Colorado to install his artwork. One would be at the corner of Boynton Beach Boulevard and Seacrest and one would be at the Old High School on a temporary pad. There was a site at Veterans Park. Lynn Emory was not able to have one of her pieces on display because she sold it. Another option would be to have the three butterflies placed at that site as there was a kinetic artist needed at this site. They are on a pedestal and move and light up. They would be approximately six to eight feet above the pedestal. The members were showed a short presentation of the butterflies. Motion Ms. Moeller moved to approve the kinetic butterfly exhibit. Ms. Lorenz seconded the motion that unanimously passed. 4 Meeting Minutes Arts Commission Boynton Beach, FL October 23, 2012 b) Indoor Kinetic Artwork recommendation The recommendation for the indoor exhibit included pieces that Rolando and Rick Beau Lieu would curate. Ms Coles -Dobay showed photos to the Committee of the pieces they decided to put on display and provided a brief overview of the artist. Motion Ms. Lorenz moved to accept the art. Vice Chair Slocombe seconded the motion that unanimously passed. - Vendor Committee Ms. Lorenz indicated she forwarded the spreadsheet to Ms. Coles -Dobay for review. The spreadsheet contained contact information for various vendors that might be interested in participating in the workshop. She requested someone else take over the responsibility of finding vendors because she felt she did not have the time to work on it any longer. - Youth Workshop Committee Mr. Combes was out of town due to a death in the family. He lined up two people to help. The ad was completed for Fanfare Magazine and sent. - Presentation Committee Ms. Coles -Dobay advised she was still finalizing the list of people who would be participating. She was trying to collect the bios on the participators. - VIP Reception Committee Chair Ready advised she was working on the list of invitees. She made contact with the individual working on the video that would be projected on the side of the Old High School and would have a kinetic element. Chair Ready also advised she made contact with a caterer who was very interested in assisting to some extent. Chair Ready would provide Ms. Coles -Dobay a list of names for invitations. Ms. Coles -Dobay advised Winn -Dixie may be interested in donating goods and she was in the process of contacting them There was brief discussion on sponsors and what recognition they would receive They could have their names in a book or on signage or in a press release 5 Meeting Minutes Arts Commission Boynton Beach, FL October 23, 2012 - Marketing Ms Coles -Dobay commented that what was discussed last month had been completed. She had a meeting to finish the brochure and complete edits. The save - the -date cards had been distributed through the Coastal Star and other publications. - Sponsor Relations Ms Tito advised she began putting a spreadsheet together to organize all the sponsors and their contact information. Most of the sponsors are listed on the website Boca Bearings would have a booth set up to educate the public on how their bearings were used in kinetic art. They would also be donating $1,000 for the best kinetic artwork as a people's choice award and $500 for the indoor exhibit. VIII. Exhibits A. Sims Center Exhibit Ms. Coles -Dobay announced there was no exhibit at the Sims Center, and asked for ideas from the Board members. There was a brief discussion on some ideas. It was the consensus that since there were so many projects in the works, this would be put on hold for the present time and possibly have a "call to artists" asking for photographs documenting public art in Boynton. B. Fish Art Ms. Coles -Dobay showed the members a piece of art from an artist that makes customized fish art with shells. There was discussion of putting it on display somewhere in the City. IX.
