Minutes 01-23-14 MINUTES OF THE EDUCATION AND YOUTH ADVISORY BOARD MEETING HELD IN COMMISSION CHAMBERS, CITY HALL, 100 E. BOYNTON BEACH BLVD., BOYNTON BEACH, FLORIDA ON JANUARY 23, 2014, AT 6:00 P.M. PRESENT: Steve Waldman, Chair Sherri Claude, Board Liaison Mary Morera, Vice -Chair Carla Colebrooks- Spencer Carol Lundquist Dr. Tiffany North (arrived at 6:15 pm) Loretta Wilkinson, Alternate ABSENT: Hattie Miller Valencia Spells- Anderson Carmela Nanton, Alternate Kellsie Kershaw, Student - Regular Voting Member I. Call to Order Chair Waldman called the meeting to order at 6:07 p.m. Self- introductions were made. II. Pledge of Allegiance /Moment of Silent Reflection The members recited the Pledge of Allegiance to the Flag, followed by a moment of silent reflection. III. Approval of Minutes of December 5, 2013 Motion Ms. Lundquist moved to approve the minutes. Ms. Colebrooks- Spencer seconded the motion that unanimously passed. Ms. Wilkinson inquired if she is allowed to move and second items as an alternate. Chair Waldman explained she could in the event a regular member is not present. Approval of Agenda Ms. Colebrooks- Spencer requested Boynton Reads to be added as item "E" under Old Business. Ms. Wilkinson suggested this be a regular agenda item going forward. Motion Ms. Wilkinson moved to approve the amended agenda. Ms. Colebrooks- Spencer seconded the motion that unanimously passed. V. Announcements /Presentations /Correspondence Ms. Claude handed out samples of magnets promoting the Recreation and Parks Department's "Play Outdoors Unplugged" series, which takes place the third Saturday of each month. These are free events for the entire family. Last Saturday's event was "Bark at the Park" at Pence Park and the upcoming even, "Family Field Day ", will be held on February 15 at Wilson Park. Ms. Claude also requested Board members attend as many events as possible to personally help hand out short surveys. This was done at a previous event by members of the Recreation and Parks Board which seemed to have better feedback. Dr. Tiffany North joined the meeting and introduced herself. Chair Waldman commented the Board usually donates money for the Olympics of the Minds and the Lego contest but no requests have been received for these events. Ms. Wilkinson commented the Boynton Beach High School baseball team is also in need of equipment. VI. Public Audience Patricia Trejo, Principal at Freedom Shores Elementary School, thanks Ms. Colebrooks- Spencer for inviting her to the meeting and stated Ms. Colebrooks- Spencer is a teacher at the Freedom Shores Elementary School and is a tremendous resource. Ms. Trejo wanted to also thank the Board for their support and approval of the grant for the SECME program. Ms. Trejo stated funding was lost due to losing their status as a Title I school. Any contributions from the Board are greatly appreciated. Hopefully. Title funds will be reinstated next year. VII. New Business Chair Waldman stated he is overseeing a contest called; "Contributions of African Americans through American Society" and would lie to create an award for the student who makes a contribution to race relations or to brotherhood in his or her community. MEETING MINUTES EDUCATION AND YOUTH ADVISORY BOARD BOYNTON BEACH, FL. JANUARY 23, 2014 Most of the funds would come from private donations, but Chair Waldman is also asking the Board for their help. The proposed amount would be $500 - $1,000 and the title of the award would be "Dr. Martin Luther King Jr. Brotherhood Award ". The contest would consist of part essay and part recommendations from relatives or a community member. Ms. Colebrooks- Spencer volunteered to work with Chair Waldman to get the contest going for the end of this school year if possible. Ms. Morera suggested putting this item on the agenda for the next meeting so it can be discussed by the Board without having a separate meeting. Ms. Wilkinson attended the last Commission meeting where Boynton Beach High School was recognized for reaching an " "A" rating for the first time in 12 years. VIII. Old Business A. Shred -A -Thon (4/19/14) Ms. Wilkinson reported the event is tentatively scheduled for April 19 However, that weekend is Easter weekend and may be a conflict for citizens. Ms. Morera commented the Barrier Free Park extravaganza is also on April 19 Ms. Claude requested Ms. Wilkinson remind the company to send necessary paperwork on time. An agreement needs to be on file as well as a Certificate of Insurance prior to the event. Ms. Wilkinson suggested Saturday, May 3 rd which would be right after tax time and a good time to shred unwanted documents. The alternate date will be Saturday, May 10 tH Ms. Wilkinson also commented there needs to be more signage and the address of the site needs to be clear in the newspaper advertisement. Ms. Claude stated signs can be made as long as she has the details of how big, color and what they should say. Motion Ms. Wilkinson moved to approve $75 to buy signs for the Shred -A -Thon. Ms. Morera seconded the motion that unanimously passed. After much discussion, Chair Waldman stated a monetary amount should not be indicated until the research has been done and the cost is known. The Board members voted unanimously to fail the motion. MEETING MINUTES EDUCATION AND YOUTH ADVISORY BOARD BOYNTON BEACH, FL. JANUARY 23, 2014 Dr. North suggested using the company's signs at the site. Ms. Wilkinson responded the company does use their own signs, but would still need signs that say; "City of Boynton Beach" so they can be used for future events. Ms. Wilkinson has a large number of telephone numbers from last year that should be called this year to let people know of the event. Ms. Claude suggested using a phone blast which has been used before. She will contact ITS to set it up. Ms. Wilkinson also mentioned she will be asking the company for a lower rate this year because there was an issue with the start time last year. The truck arrived one hour late. B. Tennis Carnival (4/26/14) Ms. Morera reported the tennis carnival has been renamed the Phyllis Stern Tennis Carnival in her memory. The event is being advertised in FunFare and there are already eight or nine people enrolled. Ms. Morera will purchase the refreshments with a Board approval of $50. There will be trophies for the winners and tennis lessons by the tennis pro. C. Youth Volunteer Bank /Bob Borovy Award Ms. Claude stated the Borovy flyer was emailed to everyone. The application is on the website and there was a press release. The information has been sent to the schools and information has also been posted on Facebook. The application deadline is March 28 Judges for the event are needed. Debbie Majors and the last recipient of the award usually act as judges. Ms. Wilkinson suggested contacting the Greater Boynton Foundation and Chair Waldman suggested contacting the Chamber of Commerce Chair, Jonathan Porges. D. Sister Cities Chair Waldman had no information to report. E. Boynton Reads Ms. Colebrooks- Spencer reported the last meeting of Boynton Reads took place on January 14 The program needs new books for their summer book drive by the end of the school year so that students can choose a book to read over the summer. Dr. North inquired if the program has contacted the Literacy Coalition. Ms. Colebrooks- Spencer responded a representative from the Literacy Coalition was present at the meeting. Ms. Wilkinson suggested a few volunteers work in the warehouse at Scholastic Books and they will donate books. The number of books donated depends on the number of hours worked. JANUARY 23, 2014 that may be willing to work in the warehouse. Ms. Claude will pass on all information to the students in the volunteer bank. Ms. Colebrooks- Spencer stated representatives from Subway and Walmart (Old Boynton Road) are now on the Boynton Reads committee and are collaborating to continue the tardiness program. Both Subway and Walmart will give out certificates to those students who have perfect attendance. There were 293 students tardy for the first trimester. IX. Adjournment There being no further business to discuss, Ms. Wilkinson moved to adjourn. Ms. Morera seconded the motion that unanimously passed.
