Meeting Minutes
Arts Commission
Boynton Beach. Florida June 2, 2014
Ms. Coles -Dobay distributed a flyer for a series by the Community Caring Center at the
Secret Garden, called "An Appetite for Art" showcasing artists and local chefs on a
monthly basis. If the members knew of any artists or organizations that may be inter-
ested in participating, the first showcase would be June 27 at 6:30 p.m. The members
were invited to attend. Details regarding which artists would be present were contained
on the Art in Public Places Facebook page.
V. Project Updates /Approvals
A. Sculpture installations at Quantum Town Center
Ms. Coles -Dobay requested the members visit Quantum Town Center on Gateway
Boulevard to see the sculpture that was installed.
Mr. Sirota commented the sculpture entitled "We are Coming Apart" resembled a big
hamburger and was different than the concept presented. The top edges of the sphere
were jagged in the initial presentation, but were smooth on the piece.
(Mr. Slocombe arrived.)
Discussion followed if there was a substantial difference between what was presented
and the final product, there may be an explanation. The members could discuss and
decide whether to accept it or not when the item returned to the Board for final approval.
(Ms. Lorenz arrived.)
VII. International Kinetic Art Symposium And Exhibit Planning
A. To do list
• Updated marketing plan
An updated plan was distributed. The Symposium Save the Date cards were available
and Chair Bottorff was still working on the poster.
(Mr. Hatcher arrived.)
The members had wanted the sculptural images on the poster's edges and Chair Bot-
torff made those changes. The images would change with each symposium. A sugges-
tion was made to accentuate the year 2015 move it higher into the black area of the
poster to provide more space for artist signatures. The lines indicating motion could be
drawn from the top to the bottom of the poster to better signify kinetic motion were
made. An updated version will be returned to the Arts Commission for review.

Meeting Minutes
Arts Commission
Boynton Beach. Florida June 24, 2014
The CRA had directional signs, feather banners and an A-frame sign they would loan
the Arts Commission. They would also contribute a two-page spread in the Boynton Fo-
rum and the loan would be reflected as an in-kind cost. The signs would direct at-
tendees to the event, to parking and the actual event location. The CRA produces 40
sign banners for use on Ocean Avenue and along Boynton Beach Boulevard advertising
their events. The Arts Commission could purchase banners through the CRA with the
Arts Commission's graphics and install them on the light posts. The cost for 14 banners
was $1,543. The A-frame signs were made of plywood and the Arts Commission would
custom produce skins to attach to the wood.
Ms. Mondesir inquired if the CRA would include the Symposium in the Event Page of
the Catch Boynton phone app. This could be used as an advertisement up until the
time of the event and then for the artists to check in. A map could also be uploaded de-
tailing where the artists would be making the app interactive and Ms. Coles-Dobay
agreed to research the suggestion.
Mr. Sirota volunteered to enter all the handwritten email addresses into a database.
When Chair Bottorff completes the graphics, they would be used with the eBlasts to
start promoting the Symposium. The graphics would be similar to the Save the Date
card.
Marketing for the Symposium was anticipated to cost about $17,621, but there would be
a return on investment for some items such as the posters and DVDs. Mr. Sirota com-
mented the Arts Commission had discussed adding QR codes to the poster and learned
the app was $1.99. The Arts Commission had used QR Codes last year on the sculp-
ture plaques and others exhibits. The QR Codes would be used on printed material, but
the emails would have a link to the website. A twitter account and hash tag was also
set up for the event.
At the last meeting, the members discussed using Groupon starting in December. Ms.
Coles-Dobay commented she has a method to sell the posters on the website, but there
were costs involved and they would have to ensure mailings were included in the prod-
uct cost. Groupon could be used to purchase a poster at a $2 discount, which would
avoid the Arts Commission having to mail them. Chair Bottorff requested the members
think of ideas to market the posters and after brief discussion, there was agreement to
discuss poster costs, promotions, and advertising costs at the next meeting.
Ms. Coles-Dobay advised old fashioned credit card machines were used at the last
Symposium. An updated credit card processing system would be used for the 2015
event.
• Presenter schedule
Artist Ralponso was confirmed as a 2015 presenter and would discuss the historical as-
pect of kinetic art. His presentation would include visuals.

Meeting Minutes
Arts Commission
Boynton Beach. Florida June 24, 2014
Artist Angus Forbes of Creative Coding Labs would discuss the technological aspects of
kinetic art, moving away from traditional perceptions of kinetic art. Boca Bearings was
working on a Science, Technology, Engineering, Art and Math (STEAM) student project
and would make a presentation and have student competitions.
It was hoped Boca Bearings would showcase a 3-D printer at the Symposium and pro-
duce 3-D art, although it may take several hours to produce. Boca Bearing holds inno-
vation contests. Work from one of the finalists or runners up would be showcased. Part
of Boca Bearings presentation would include the work of "makers" who were individuals
who did not have a place to produce projects.
Artist Janet Echelman was invited to make a presentation. Ms. Coles-Dobay had nego-
tiated with her in 2013 to be part of the Symposium. The cost for her to come was not
within the budget, but Ms. Echelman was still interested and Ms. Coles-Dobay would
approach her again to solicit her participation. Links to her art were posted on the AIPP
Facebook page.
Artist Behnaz Farahi would be present to discuss the interactive environment in relation
to the human body.
Rein Triefeldt was working with local teachers and students on the Solar Tree project.
Students and teachers will make a 40-minute presentation of their experience.
On Saturday, February 7, 2015, from 9 to 10 a.m., attendees could walk around, look at
the exhibits, and artists, vendors and presenters could make introductions and go to
their stations. From 10 to 10:30 a.m., Ralfonso will discuss the history of Kinetic Art;
from 10:30 to 11:00 a.m., Angus Forbes would discuss the Creative Coding Labs; and
there would be artist signings from 2:30 to 3 p.m. when they are at their stations. Signa-
tures could also be obtained throughout the event.
Sunday would start with the Solar Tree project, followed by a break for lunch and the
artists meet. There would be more presenters. The Symposium would end with Boca
Bearings awarding their prizes followed by the International Kinetic Art organization
awards ceremony. Ms. Coles-Dobay explained they were looking for one presenter to
discuss the impact of kinetic art on new industries or technologies. Last year, Paul Dan-
iels made a presentation to this effect, and this year, Ms. Lorenz volunteered to try to
get Ford Motor Co. to present their solar car.
• Vendors
Ms. Lorenz turned in her contact list. An email would be sent to the vendors with links to
the appropriate documents if they were interested in participating. Ms. Coles-Dobay
should be copied on the emails so when they respond, Ms. Lorenz or she could reply.

Meeting Minutes
Arts Commission
Boynton Beach. Florida June 24, 2014
Ms. Tito advised there was an upcoming meeting at her college regarding events and
she would inquire if they wanted a table at the Symposium.
• Volunteers schedule
This was discussed at the last meeting. Some volunteers were shifted. Mr. Sirota vol-
unteered for the VIP event. Mr. Slocombe was the Chair of the Outdoor Exhibition
Committee. There were several volunteers for both the indoor and outdoor exhibits.
June 30 was the deadline for the indoor and some international art submissions.
Twelve indoor submissions were received and Ms. Coles -Dobay was confident there
would be many more as it was not uncommon for artists to submit on the last allowable
day.
Brookstone, Hackcloud, Boca Bearings and others would participate again in the 2015
Symposium. Other organizations such as Digital Media Arts College, the CRA, the City,
and FPL may be sponsors. As to vendors, Ms. Lorenz would create a list of artists who
want to sell their artwork. If the artist could not attend, Rolando agreed to serve as a
broker.
Indoor exhibit volunteers were Rick Beau Lieu, Ralfonso, and someone from the City.
Nichole Hickey from the Cultural Council of Palm Beach County and members of the
Arts Commission were invited to serve on the Indoor Exhibit Selection Panel.
Last year, indoor exhibits were in the Civic Center, Library Program Room and Cham-
bers, with a volunteer at each location. This year, they will have a tent, also with a vol-
unteer. AmeriCorp would be contacted to recruit volunteers to serve as docents for the
indoor and outdoor exhibits. At last year's VIP night, most attendees stayed inside,
providing an opportunity for artists to circulate. This year, an electric taxi will again be
used.
Ms. Lorenz contacted G -Star and received a lackluster response. FAU has a Kinetic Art
Club and Ms. Mondesir agreed to contact the president and invite them to the Symposi-
um.
Exhibits Presentations in City Chambers would be coordinated by Nancy Byrne and -her
husband. Ms. Mondesir was coordinating the presentation schedule for City Hall
Chambers. Tables will be manned by Arts Commission members to welcome people
and distribute programs at the various locations. The Schoolhouse Children's Museum
will be open with their programs. Returning volunteers include Rick Beau Lieu, Barbara
Lentz, Assistant City Manager, Carisse LeJeune, Development Director, Nancy Byrne
and husband, and City employee, Alan Karjalainen from ITS will help with the presenta-
tions.
Bill Combes, Robert Capitano, and Rick Beau Lieu, will help with t he setup and break -
down, but more volunteers from the Arts Commission to help direct and organize the

volunteer installations were needed. Mr. Sirota recalled the Arts Commission commit-
ted to be present for the weekend to do what needed to be done.
The tent cost almost $2,000 $10,000 and security was needed. It was suggested
Wackenhut may be less expensive than the Police, although the Police must be onsite.
The City's Special Events Coordinator would handle the logistics including cleanup,
trash receptacles, setting up and closing the road.
A location list used by the CRA to distribute event marketing materials at different City
locations was obtained. Chair Bottorff agreed to distribute cards along Renaissance
Commons on Congress Avenue between Boynton Beach Boulevard, and Gateway and
the Tennis Center. Ms. Lorenz volunteered to distribute cards east of Congress Avenue
from Boynton Beach Boulevard to Federal Highway. Mr. Hatcher volunteered to distrib-
ute cards at the Town Center and Ms. Tito would distribute cards at Sunshine Square.
Ms. Slocombe would distribute cards during his travels to Delray and West Palm Beach,
Palm Beach Gardens, Jupiter, and Hypoluxo and Congress Avenue. Ms. Mondesir vol-
unteered to distribute cards along Boynton Beach Boulevard, E. Ocean Avenue and Las
Ventanas
Mr. Sirota will distribute at the Quantum Town Center and to each art teacher through
the school mail. Mr. Hatcher would handle distributions at North Federal Highway and
Yachtsman Plaza down to 22 Ms. Coles -Dobay would leave a few boxes of cards at
the City Hall front desk. Chair Bottorff emphasized marketing was everything.
It was also suggested that when around the City, members should note the location of
public art. This would help prepare the members for the Symposium. After the Sympo-
sium, they would also discuss the AIPP Strategic Plan.
VI. EXHIBITS
A. Future exhibit schedule
There were many artists wanting to exhibit in the City and Ms. Coles -Dobay suggested
the lengths of the exhibits be shortened. Plein Air artists wanted to promote kinetic art in
the City and she suggested they actively create and display paintings of kinetic art dur-
ing the Symposium.
The exhibit schedule was reviewed for the Library, Civic Center and the Utilities De-
partment as contained in the meeting materials. Two other groups would be scheduled,
which were the Watercolor Society of Palm Beach and Artists of Palm Beach County.
She noted they have a lot to schedule at the Library.
The Civic Center did not have organized exhibition space, but sold many paintings.
This location was more of an emerging art type location that was used on an as- needed
basis.

Ms. Lorenz inquired if she could exhibit her work because it was not for sale. Ms.
Coles-Dobay agreed to bring in ethics information as she may stand to gain from her
work being promoted.
VII. NEW BUSINESS
A. Donation of two Conrad Pickel prints
At the Conrad Pickel Celebration, a lady purchased two prints and wanted to donate
them. If the Board wanted to accept the donation, they must give approval.
Ms. Lorenz noted the prints were semi-nudes. Ms. Coles-Dobay suggested if the
members liked and accepted the donation, she would bring it to the Director and the
Library Board. The prints would be in the upper room of the Library where youth do not
frequent, but they were visible. Chair Bottorff explained they could accept the donation
and then find a location.
Motion
Mr. Sirota moved to accept. Mr. Slocombe seconded the motion that passed 6-1 (Ms.
Lorenz dissenting.) Ms. Lorenz clarified she was opposed to the donation unless the
Library gave approval.
