Valerie Pleasanton, Secretary CITY OF BOYNTON BEACH Boynton Beach City Library Library Advisory Board Minutes June 25, 2014 The Library Advisory Board meeting was called to order at 4:00 p.m. by Chair Jeannie Taylor. All board members were present except for Laurie Sulzer. The minutes of the April 23" and May 28 meetings were approved with changes. Correspondence: Laurie emailed to say she would not make the meeting. Chair's Report: None. Valerie shared pictures from the children's Ace Summer Science Program. Unfinished Business: Craig distributed the OverDrive e-books report for June 2014. The report shows that Boynton's Overdrive patrons checked out 342 items in June. Boynton Beach Library has a total of 935 patrons utilizing this service. The Unique Management Collection Services report was also distributed to the board. The collection service has collected $7,496 dollars to date. In addition the program has recovered over $15,000 in materials. Board members agreed that the service is a successful method to recover lost materials and fines. During the staffing update Craig stated that he was allowed by the city manager to re- combine the two part time Division Head Librarian positions in order to be able to fill the position with someone who has the correct qualifications and experience. A part time library aide position will be sacrificed to pay for the required benefits. The full time position will be offered to Judy who will go full -time on October 1S if the budget is approved by Commission. Final colors and styles were chosen and the equipment ordered for the Digital Creative Commons (DCC) area for teens. Staff expects the DCC will be up and running by the beginning of the school year. The Summer Reading Club has 196 teens registered and 257 younger kids. The staff has noticed kids are staying later and teen participation is at an all time high. Our AmeriCorps volunteer, Kathy's last day is this week. A new group report for training on August 20 All local AmeriCorps volunteers are trained at the library and given opportunities for extra hours at the library through out the program. The library has requested two volunteers for the next session. Craig updated the board on the proposed 2014 -2015 budget request. The budgetary outlook is grim this year. While property values are up a bit the Police Union has not yet settled their contracts. The City Manager has to find a way to bridge a $2 million gap between expenses and revenues. The requested Digital Services Librarian position is in jeopardy. Budget hearings will be held July 21 and 22 in the program room of the library. Board members are encouraged to attend by the Chair. New Business: Anne Watts, Assistant Library Director, is requesting adopters for unfunded magazines. The Adopt -A- Magazine program has been successful in the past. The book budget has not been increased in the last five years, although prices for materials have continued to climb. She encouraged donations of old iPads and cameras. Library Director's Report: Craig distributed the monthly report for May and made note of some of the statistics. Craig also discussed the Annual Records Management Policy and that many boxes of old files were discarded or shredded under the retention policy. He also shared newspaper articles regarding the new program of allowing children to read down their fines. The July Broadcast newsletter was distributed. Craig also updated board members on incidents regarding a patron using very bad language who was asked to leave and another who was mentally disturbed and caused a disturbance. Barbara Wineberg reported that the Boynton Woman's Club received a grant for restoration of the French doors and windows of their historic building. The next library board meeting is July 23, 2014 at 4:00 p.m. The board will discuss canceling the August meeting and scheduling for the remainder Craig also of the year during the July meeting. The meeting was adjourned at 4:45 p.m.
