Minutes 08-25-16 MINUTES OF THE EDUCATION AND YOUTH ADVISORY BOARD MEETING nd HELD IN ART CENTER, 125 SE 2 AVENUE, BOYNTON BEACH, FLORIDA ON THURSDAY, AUGUST 25, 2016, AT 6:00 P.M. Present: Dr. Tiffany North, Chair Sherri Claude, Assistant to the Director Dr. Stephanie Hayden, Vice Chair Mona Laventure, Prototype, Inc. Valencia Spells Anderson Lori Wilkinson Kathleen Wilkinson, Student Reg. Voting Member Absent: Hattie Miller Carol Lundquist Angelica Nevin Alana Thomas, Student Reg. Voting Member Dariana Rodriguez, Student Reg. Non-Voting Member I. Call to Order The meeting was called to order at 6:10 p.m. Roll call was taken. II. Pledge of Allegiance/Moment of Silent Reflection The members recited the Pledge of Allegiance to the Flag, and Chair Tiffany North called for a moment of silence. III. Approval of Minutes of July 28, 2016 No minutes were received. IV. Approval of Agenda Lori Wilkinson asked to add an item under New Business. Motion made by Valencia Spells Anderson, seconded by Lori Wilkinson, to approve the agenda with the added item. In a voice vote, the motion passed unanimously (5-0). V. Announcements/Presentations/Correspondence Vice Chair Hayden announced there is a new Student Non-Voting member on the Board. Meeting Minutes Education and Youth Advisory Board Boynton Beach, Florida August 25 2016 Chair North mentioned she went to the basketball game between the Boynton Beach Police Department and the Boynton Beach Allstars at the Ezell Hester Community Center. Chair North also said she received “thank you” correspondence from the Back to School Bash. VI. Public Audience VII. New Business Lori Wilkinson suggested sending a card or flowers to Hattie Miller in her convalescence. After discussion, the Board decided to send a card. VIII. Old Business A. Back to School Bash Chair North said most of the Board members attended, and there was a large turnout, about 350 people (according to Vice Chair Hayden). She said they could not compete with people who were giving away trinkets, and they ran out of materials about halfway through the event. She said perhaps they need to come up with something, even if it is candy, to give away. Chair North reported that the gift cards were given out, with backpacks at the end of the line. Lori Wilkinson said the line was very long. Chair North remarked that it was very well organized. She suggested they seriously consider participating every year. She was appreciative of Rhonda, who put their table inside the building instead of outside. Valencia Spells-Anderson read an email from Rhonda, in which she thanked the Board for their support and participation. Lori Wilkinson reminded Sherry Claude that they ran out of materials. Chair North and Valencia Spells Anderson both commented they need to make an effort to make the students more aware of what the Board does. B. Board Retreat Chair North suggested tabling the item until the next meeting, since Angelica Nevin was absent and she was leading the discussion. 2 Meeting Minutes Education and Youth Advisory Board Boynton Beach, Florida August 25 2016 C. Shred-A-Thon/Fundraising Lori Wilkinson reported that she spoke with Sharon from The Red Shredder, and they are scheduled for October 1, 2016, with a rain date of October 15, 2016. Sharon was aware of the problems last time associated with dumping of the truck, and they agreed not to do that. The event will be from 10:00 a.m. to 12:00 p.m., and the truck will be there from 9:30 a.m. to 12:30 p.m. She believed the charge would be $100 an hour and a tip for the driver on top of that. Sherry Claude said she would add the details to the agreement and mail it to Sharon. Lori Wilkinson was not sure if the truck would be able to shred CDs, and Sherry Claude said she would find out. The company they used before would not allow it. Lori Wilkinson reported that Sharon from The Red Shredder suggested that the press release clearly say the event is from 10:00 a.m. to 12:00 p.m., or until the truck is full. D. Youth Volunteer Bank/Bob Borovy Award Chair North noted the balance in the Bob Borovy Award account is $2,112, and there is $1,248 in the Youth Volunteer Bank account. Sherry Claude wondered if the Board wished to continue with the $1,000 award, and the Board agreed by consensus to do so. IX. Future Meeting Dates: September 22, 2016 and October 27, 2016 Lori Wilkinson reminded everyone to vote on August 30, 2016. Sherry Claude mentioned that they normally cancel the November meeting and move up the December meeting. She suggested December 1, 2016, for the December meeting. She said if they preferred to meet on December 29, 2016, they could if the Clerk’s office could arrange for someone to take notes. Vice Chair Hayden asked about the deadline for re-application to the Board. Sherry Claude said the following terms expire in December, 2016: Lori Wilkinson, Hattie Miller, Vice Chair Hayden, and Carol Lundquist. She explained that some terms are for three years, while others are for two. She added that alternates have one-year terms. All the students would be due for re-appointment in December, 2016. Discussion ensued on when to have the December meeting, and Sherry Claude said she would check the calendar to see which day would be feasible. Lori Wilkinson said the second Thursday would be better for her. 3 Meeting Minutes Education and Youth Advisory Board Boynton Beach, Florida August 25 2016 Lori Wilkinson mentioned they should start thinking about replenishing their account for the Borovy Award if they are going to give out $1,000. Chair North mentioned they wanted to discuss that at the Board Retreat. Sherry Claude announced that 242 pairs of sneakers were turned in and counted, and there are a few more to be counted. Lori Wilkinson mentioned that she resigned from the School District during the prior week and will be working for a contract interpreting agency. Kathleen Wilkinson said she will be performing in a play called “Fugitive Songs.” X.
