Minutes 08-27-20 Minutes of the Education and Youth Advisory Board Meeting Held on Thursday, August 27, 2020, at 6 p.m. Via Zoom Online Meeting in Boynton Beach, Florida Present: Gregory Murphy, Vice Chair Sherri Claude, Board Liaison Shaquira Young Kacy Young, Recreation and Parks Director Dr. Vinola Rada Lori Wilkinson Chevette Gadson Francoise Caliexte-Dieuvil Carla Colebrooks (arrived 6:20 p.m.) Diana Heitz, Alternate (arrived 6:08 p.m.) Kevin Duterval Jeremiah Young Absent: Mariah Kinlaw-Hamilton At 6:03 p.m., Kacy Young, Director Recreation and Parks, explained how the meeting would proceed and how the public could participate. I. Call to Order Vice Chair Murphy called the meeting to order at 6:06 p.m. Vice Chair Murphy called the roll. A quorum was present. Il. Pledge of Allegiance The members recited the Pledge of Allegiance to the Flag. III. Approval of Agenda Motion Ms. Wilkinson moved to approve the agenda. Ms. Gadson seconded the motion. The motion unanimously passed. IV. Announcements/Presentations/Correspondence Ms. Claude announced two openings on the Board due to the resignations of Dr. North and Ms. Colebrooks. She suggested alternates interested in moving into a regular position can do so by sending a request to the City Clerk. Vice Chair Murphy commented Dr. North and Ms. Colebrooks served on the Board for a long time. He thanked them for their service and wished them the best. VI. New Business A. Approval of Minutes of July 23, 2020 Vice Chair Murphy noted the following change on page two Section 7, E. as follows Dr. deter JeTawn Shannon There were no other corrections. Motion Dr. Rada moved to approve. Ms. Young seconded the motion. The motion unanimously passed. B. Election of Chair Vice Chair Murphy asked for nominations for the position of Chair. Dr. Rada nominated Greg Murphy. Ms. Gadson noted in the absence of the Chair, the Vice Chair serves. It was explained the ordinance requires an annual vote for the Chair and Vice Chair to be held in May, but it was delayed. Ms. Gadson seconded the nomination for Vice Chair Murphy to become Chair. No other nominations were received. Mr. Murphy accepted. Motion Dr. Rada moved to approve the nomination of Greg Murphy as Chair. Ms. Wilkinson seconded the motion. The motion unanimously passed. C. Election of Vice Chair Dr. Rada nominated Loretta Wilkinson. Ms. Wilkinson accepted if no one else wanted it. Vice Chair Murphy nominated Chevette Gadson Ms. Gadson accepted. Ms. Wilkinson withdrew her acceptance. Motion Ms. Wilkinson moved to approve the nomination of Ms. Gadson for Vice Chair. Dr. Rada seconded the motion. The motion unanimously passed. Meeting Minutes Education and Youth Advisory Board Boynton Beach, Florida August 27, 2020 VII. Old Business A. Outreach Vice Chair Murphy recalled they were working on a brochure before COVID. He asked if Ms. Claude had a draft. Ms. Claude recalled they had a generic brochure which she could send out and they could update it. He requested the members review the brochure to see how they could innovate and bring effective change. He thought this was a prime time to capitalize on how they could be effective right now. Education is much needed. The brochure will bring newness to the Board and get the Board's name out there. He thought they may be able to attend a School Advisory Committee meeting and make a short presentation as the SAC Committee may not even know about the Board. The Board could rebrand themselves and go out in the community. He had a list of schools he would forward to Ms. Claude. He thought one board member could attend the SAC meeting. Ms. Claude would check to ensure it was allowable for two people to attend. Vice Chair Murphy noted there are 10 schools in Boynton and Charter schools. Ms. Wilkinson got a new memo from school and it does not sound like the schools will let anyone in the school there. It does not address SAC meetings, but it says parents cannot come in and the only ones allowed in are basically, teachers, students, vendors or contractors. Vice Chair Murphy thought SAC meetings may even be virtual meetings and thought the members should keep that in mind because they do not want to put anyone in harm's way. He agreed to contact the school principals. He asked if that was something the members would be interested in and there was interest. He explained the member would just make a presentation about the Board and what they offer to get the Board's name out there. Ms. Wilkinson volunteered. B. Fundraising Vice Chair Murphy received information about fundraising through Texas Roadhouse and gave a presentation. They have curbside options for fundraising. He requested the members pick a few dates and time slots. Anyone who comes mentioning the Board during those dates and times results in the Board receiving 10% or 15% of the bill depending on if the Board have reserves one or two dates. Texas Roadhouse provides the link to preorder and flyers. The Board just has to promote and preorder the meals and on the day of the fundraiser, the Board will know how much has been raised because of the preorder. Vice Chair Murphy advised they have a Family Pack Option. They have a Butcher Block option as well. Dr. Rada asked about the Education and Youth Board not being a 501(c) 3 organization and learned the fundraiser is not limited to 501(c) 3 organizations. Vice Chair Murphy thought it was an easy way to fundraise. The Board just has to promote it and the members could issue an email blast to those they know. Vice Chair Murphy explained they have a link to order through which will be linked to their account. He will ensure that will be cleared. The members selected Monday, September 21st and October 22nd. Ms. Wilkinson will ill reach out to her friends who put together Moonfest on Clematis. If there is anything she could do, she will let Ms. Claude know. (Ms. Young left the meeting at 6:35 p.m.) C. Grants Vice Chair Murphy explained Dr. North had been working on grants. He agreed to speak with Ms. Claude to try to gain access to grant funding. D. Bob Borovy Student Citizen of the Year Award Vice Chair Murphy explained the Bob Borovy Student Citizen of the Year Award was presented virtually at the City Commission meeting. The winner had a great background and Vice Chair Murphy hoped she does great in her endeavors. She was interested in aeronautics. Ms. Claude noted there was $883 in the account and she asked if she should advertise the scholarship for next year in Funfare magazine. There was agreement to do so. Ms. Wilkinson thought if members had any connections with anyone running for office, they could ask if there was any money left over in their campaign account. Dr. Rada asked if an individual could donate to the fund and learned they could and have in the past. VIII. Future Meeting Dates: September 24, 2020 October 22, 2020 Ms. Wilkinson mentioned the members need to pick a different meeting date in November as it falls on Thanksgiving and they usually combine the November and December meetings. Ms. Claude will have to let the Board know what dates are available. December 3rd is the first Thursday, and December 10th was the second Thursday. Last year, the first Thursday was available, but the Board can make the decision next month. Any other fundraising ideas should be sent to Ms. Claude. IX. Adjournment There being no further business to discuss, Ms. Gadson moved to adjourn. Ms. Wilkinson seconded the motion. The motion unanimously passed.
