Minutes 09-24-20 Minutes of the Education and Youth Advisory Board Meeting Held on Thursday, September 24, 2020, at 6 p.m. Via Zoom Online Meeting in Boynton Beach, Florida Present: Gregory Murphy, Vice Chair Sherri Claude, Board Liaison Shaquira Young Kacy Young, Asst. Call to Order Vice Chair Murphy called the meeting to order at 6:06 p.m. Vice Chair Murphy called the roll. A quorum was present. II. Pledge of Allegiance The members recited the Pledge of Allegiance to the Flag. III. Approval of Agenda Motion Ms. Wilkinson moved to approve the agenda. Ms. Caliexte-Dieuvil seconded the motion. The motion unanimously passed. IV. Announcements/Presentations/Correspondence Ms. Wilkinson commended Vice Chair Murphy for organizing the fundraiser and thought it was an awesome idea, as did a number of people who participated. V. Approval of Minutes of August 27, 2020 Motion Ms. Caliexte-Dieuvil moved to approve the August 27, 2020 minutes. Ms. Wilkinson seconded the motion. The motion unanimously passed. B. November/December Meeting Date(s) Vice Chair Murphy noted both dates would fall on holidays; Ms. Claude proposed December 3 as an available date for a combined November/December meeting. Motion Ms. Wilkinson moved to approve the November/December meeting date of December 37 2020. Ms. Murrel seconded the motion. The motion unanimously passed. C. Funfare Magazine Distribution Ms. Claude stated the purpose of the Funfare Magazine as Recreation & Parks main marketing tool that comes out three times a year. City-wide and other events are included. Distribution has typically been by direct mail to those in the database, but ideas for reaching newer residents are desired. Bundles of magazines are dropped off at businesses, doctors' offices, and libraries. A number of new programs at the Cultural Center are being advertised in the upcoming issue. Vice Chair Murphy suggested the schools (where feasible) as well as barber shops and salons. Ms. Claude says schools are already included in the distribution. The call is for contacts at businesses and organizations that would welcome the magazine. The fall/winter edition has been delayed but is expected soon for distribution. Ms. Murrel and Ms. Caliexte-Dieuvil volunteered to take some bundles around Boynton Beach and into Delray. VII. Old Business A. Outreach 1. Board Brochure Vice Chair Murphy presented the latest rendition of the Board: giving the background of the Board; meeting times; the Board Members; contributions the Board has made, including the Bob Borovy the Citizen of the Year Award; past projects, such as the volunteer bank; and others. It is a simple brochure, but the goal remains to be a light in Meeting Minutes Education and Youth Advisory Board Boynton Beach, Florida Page 3 September 24, 2020 the community and bridge any existing gaps. Almost all of the schools have been contacted and are eager to receive a short presentation and to participate. The Board is asked to go through the brochure in the following week or so and make any comments to Ms. Claude who will then forward to Vice Chair Murphy to compile them and bring back to the October meeting. 2. SAC Meetings Vice Chair Murphy spoke about an opportunity to speak at virtual SAC Meetings in November or December and was given some tentative dates. Highlights included: • All public schools districts in Boynton Beach (still to contact Forest Park, Freedom Shores, Rolling Green) • Charter schools (to include in the next round of presentations) • In addition to the brochure, create two or three slides with highlights from the brochure. • Add Atlantic High School and Santaluces High School, as both have Boynton Beach students and qualify for the Borovy Award. After some discussion, the following members proposed to take these schools: • Ms. Murphy: Congress and remaining schools • Ms. Caliexte-Dieuvil: Crosspoint • Ms. Young: Galaxy and Poinciana • Ms. Wilkinson: Boynton High, Freedom Shores, Christa McAuliffe, Atlantic, Santaluces Volunteers were encouraged to make suggestions and edits, as well as choose November or December meeting dates, and the format for the ten-minute presentation will be discussed at the October meeting. B. Fundraising Vice Chair Murphy gave an update on the fundraising through Texas Roadhouse. The next date available is Thursday, October 22. Board Members were encouraged to get at least five people committed to participate, that would be at least $250 of which the Board would get 15% return. The flyer should go out in the next week giving plenty of time to distribute and remind people a week before to get commitments to participate in the fundraiser. Ms. Caliexte-Dieuvil had several coworkers that participated last time and were pleased, so appreciates the time to gather more interest. Meeting Minutes Education and Youth Advisory Board Boynton Beach, Florida Page 4 September 24, 2020 Ms. Wilkinson wanted to remind everyone that after the election is over, local politicians, whether they win or lose, will have to clear out their accounts. This is a perfect opportunity to ask they donate to our Board (as many other organizations will do). Vice Chair Murphy participated in a Virtual Walk for Education, which was a success. The goal was team building with a $20 fee to join in. The Board could consider something like this in the Spring or whenever as a Covid-friendly activity for education. Ms. Wilkinson was reminded of the race done every year in February at the Barrier Free Park by numerous organizations and this year will most likely be a virtual race. Perhaps this Board could do a map of all the schools in Boynton and have a race that starts at Crosspoint at the south end of the City and make their way to all the schools. It wouldn't be just a one-day thing, but over a number of weeks. C. Grants — Nothing to report. D. Bob Borovy Student Citizen of the Year Award Vice Chair Murphy explained that due to Covid, it may be necessary to make a concession for the qualification of community service. With the quarantine and social distancing for most of the year, the Board will need to be very innovative in handling these requirements. Ms. Wilkinson has noticed in the high school, they have not let up on their requirements for volunteering, stressing that volunteering can happen in many ways, even if it's just online fundraising for a charity. The positive thing about the EYAB application is that there is no minimum requirement, and with some attention to descriptions in the application things should be fine. Ms. Murrel agreed, noticing that students are continuing volunteerism at food banks and other community service projects. Ms. Caliexte-Dieuvil also agreed, stating that her high-schoolers were handing out meals and working with soup kitchens. Volunteerism is still a graduation requirement at the high schools. Mr. Young noted that Recreation and Parks is still hosting the Feeding South Florida food distribution events at the Hester Center on Thursdays from 8:00-11:00, so students wouldn't be able to volunteer for those events. However, every fourth Saturday of the month the food distribution events are being hosted by Christ Fellowship out at the mall, providing community service hours or volunteer opportunities. Future Meeting Dates: October 22, 2020 December 3, 2020 Mr. Young stated the Fall Festival (all drive-through and distanced) is looking for volunteers/groups to decorate tents and assist in handing out candy and treats at the event on October 17 at the Hester Center. Perhaps the Board is interested in participating and it would be a good opportunity to hand out the Funfare Magazine and fundraising flyer. Ms. Claude will send out further information to the Board. Ms. Wilkinson noted that the Texas Roadhouse fundraiser is the same night as the Board meeting, so plan accordingly. IX. Adjournment There being no further business to discuss, Ms. Wilkinson moved to adjourn. Ms. Murrel seconded the motion. The motion unanimously passed.
