1. The agenda with backup materials will be distributed to the Art Advisory Board members no less
than 72 hours before the meeting. *
2. The distributed agenda** may contain items without the full backup materials.The public art
staff will strive to avoid this situation and limit it to time-sensitive decisions.
3. If available, the public art staff will distribute any missing backup materials within the 72 hours
and bring the backup materials to the meeting.
4. During the approval of the agenda at the beginning of the meeting, the Art Advisory Board can
choose to remove any items, including the items without the full backup materials.
Note* -The 72 hours timeframe is not required by Florida law nor Boynton Beach ordinance. This is a
policy for the Art Advisory Board.
Note** -The City will soon be using new software to produce the agendas for all City meetings including
the Art Advisory Board.
