DeS - LEGAL ASS I STANT/PARALEGAL NATURE OF WORK Performs work assignments in support of City Attorney; conducts fact research; prepares drafts of documents for review by City Attorney; performs secretarial, paralegal, and administrative work for the City Attorney and staff. Emphasis of the work is to keep a great volume of work flowing through the City Attorney's Office as rapidly and efficiently as possible. Employees must be able to keep all work confidential and to work under time pressure without error. Work requires ability to handle myriad details simultaneously and schedule own work by assessing priorities. Employees at this level must possess a broad knowledge of City functions and programs and an unusual awareness of sensitive issues. Employees must be able to coordina%e contacts with attorneys, Judges' offices, and City staff. Work is performed with considerable independence under the g.enemal supervision of the City Attorney and staff and is supervised for achievement of desired results. ILLUSTRATIVE TASKS (Note: These examples are intended only as illustrations of the various types of work performed in this classification. Gathers information for the preparation of ordinances, resolutions, agreements, easements, deeds, court pleadings, and other legal documents under the supervision of and for the review of the City Attorney. Maintains calendar of scheduled appearances, hearings, meetings, and conferences for attorneys and keeps attorneys advised in advance of schedule with prepared materials. Takes and transcribes dictation from attorneys and others involving general and legal correspondence, cases, legal opinions, documents and memorandums of law. Composes general correspondence and compiles information. Handles distribution of various materials to appropriate persons. Answers phone calls and relays messages; has considerable contact with City staff, attorneys, and the general public; answers routine phone inquiries concerning ordinances, statutes, and procedural matters. Keeps records for budget purposes; supervises maintenance of all office equipment; maintains law library. Under the supervision of the Director of Risk Management assists in various areas of claims preparation and administration in conjunction with the Self Insurance Program's claims investigators and attorneys. Duties include, but are not limited to reviewing correspondence, pleadings and incident reports, drafting routine correspondence, obtaining information and conducting interviews with City employees at the direction of Self Insurance Program's appointed attorneys, coordinating depositions and court appearances of city employees. Reviews Subpoenas directed to City Employees and coordinates all court appearances, to assure City's compliance with the same. SKILLS, KNOWLEDGE, AND ABILITIES Legal research and writing skills; word processing capabilities. Knowledge of court rules and procedures; knowledge of governmental procedures. Some knowledge of legal references applicable to City activities. Some knowledge of City ordinances and charter provisions relating to the authority and functions of City agencies. Ability to communicate effectively, orally and in writing. Ability to establish and maintain effective working relationships with associates and the public. Ability to handle matters with integrity and confidentiality. Ability to handle individuals with courtesy and patience. Ability to organize and coordinate various individuals and/or groups for meetings, hearings, depositions and conferences. MINIMUM ENTRANCE REQUIREMENTS Graduation from high school or an equivalent recognized certification; completion of an American Bar Association recognized Legal Assistant Program; a minimum of five years experience with a governmental entity or private sector law firm with governmental practice; a minimum of five years experience as a legal secretary.
